Prepare evidence about a disputed Google review
Organize public evidence, relevant policy, and missing facts for a human reviewer.
Tools for the documented steps
Practice relevance
Cross-practice idea · A general operational method. Review the stated tool and jurisdiction limits before use.
The problem
Organize public evidence, relevant policy, and missing facts for a human reviewer.
Why it matters: A review that seems suspicious may still lack grounds for removal. A factual evidence packet helps the firm assess the issue without exposing client information, making public accusations, or promising an outcome.
Sources & evidence
Proposed / not tested. The public source describes the problem. Documentation supports only the stated method components; no result from this recipe has been verified.
What’s been verified
Source methods and reported problems have been reviewed. We have not run the adapted workflow. The sample below describes expected behavior on synthetic data, not a customer result.
What to measure: In a synthetic pilot, count correctly found exceptions, false alarms, and unresolved inputs. No time or cost saving is assumed.
- Pain evidence: Public discussion ↗original post 2024-04-07. A small firm reports three apparently fake one-star reviews materially affecting its rating and asks how to address them. Older first-person pain; alleged fakery is unverified.
- Method: Google review reporting and prohibited content ↗Google documents reporting, status review, a one-time appeal, and prohibited review behavior. A complaint alone does not establish a violation or guarantee removal.
- Method: Google review reporting and prohibited content · supporting guide 2 ↗Additional official capability reference. The complete adapted recipe has not been tested.
Source checked: October 15, 2026. Pain accounts are self-reported. Documentation supports components; this adapted recipe and prompt have not been tested. We wrote these prompts. The adapted workflow hasn’t been tested.
Suggested approach
Start when: Staff flags a suspicious review
- preserve public URL/date/text, compare the alleged issue with a specific platform-policy category, list uncertainty
- Keep source references and report unknowns instead of filling gaps.
- The responsible reviewer checks the report before any separately approved action.
Limits and review
The assistant drafts or reports only. Check source records and review the output before a human performs any separately approved send or change. No automatic legal decision, money movement, account connection or publication is included.
Who reviews it: Negative sentiment alone is not grounds for removal. Do not solicit mass reports or disclose representation/matter details in a public response. No public reply generated here, avoiding the existing review-draft workflow.
What you need
Adobe Acrobat PDF Spaces / AI Assistant · prepared inputs
- Public source capture can begin from the review's Maps listing. For business-side management use the Google Account associated with the correct profile; existing owners/managers have profile-management access . No new access or account setup is part of this recipe.
- Use firm-approved incident storage and an attorney/confidentiality reviewer. No client list, matter narrative, or representation confirmation is needed for the AI handoff.
- Firm-approved Excel Copilot or Acrobat AI access only for the named optional AI step; read-only native source acquisition is separate.
- For the AI stage use existing approved Acrobat PDF Spaces access and only public or attorney-approved nonconfidential evidence.
- Use synthetic inputs first. Keep real data in firm-approved accounts and processing, with appropriate access, confidentiality and retention controls. Aliases alone do not anonymize records. Never paste credentials, API keys or unnecessary client details.
How to use
Official native navigation documented; editorial AI analysis and human-review chain not personally tested
- Google removes policy violations, not reviews merely disliked or disputed; assessment normally takes several days, with no removal guarantee .
- Review dates can change when reviewers edit their reviews; capture what was visible at the time .
- No bulk export, automated appeal, mass-report campaign, public-response workflow, or AI removal decision is claimed.
- The initial report form’s evidence-attachment types/limits were not verified. Prepare the packet, then inspect the actual form; do not promise a universal evidence-upload button.
Check access and setup
- Account interface, access and live report contents were not personally tested.
- No native Google Ads/Business Profile AI chat is claimed by this recipe.
Capture the actual review link and text
Google Maps · Firm listing > Reviews > review More menu > Share review > Send a link > COPY LINK
Search the exact firm/location, open the disputed review and copy its direct link. Manually preserve the full displayed review text, rating, display name, date label, location and capture timestamp; save an original screenshot in firm-approved incident storage.
- Expected output
- Public review URL plus screenshot and literal text. This is manual evidence capture, not a bulk review export.
- Next step
- Verify the link opens the intended review and location, then enter the kit review row.
- Check before continuing
- Do not invent an exact posting date from a relative date label. Reviews can be edited; preserve what was visible at capture.
Prepare the minimum evidence and policy inputs
Local text editor / spreadsheet; official Maps policy · reviews.csv, evidence.csv, report-history.csv and platform-policy.txt
Assign a local review_id. Set public_url to the copied link, review_text to the literal text and captured_at to the capture time. Use posted_at only for an observed exact date; otherwise leave it unknown and preserve the displayed relative label in the evidence note. Staff assign evidence IDs and include only approved nonconfidential observations with source_ref. Copy current report/appeal status only from actual records. Add the official policy URL and relevant category text to platform-policy.txt.
- Expected output
- Kit tables and a factual public-source/policy packet. Preserve unknown report status instead of assuming never reported.
- Next step
- Upload/paste only the minimized approved material into the AI workspace.
- Check before continuing
- A reviewer unknown to staff is not proof of fakery. Negative sentiment or disputed facts alone do not establish a policy violation. Do not include client lists or representation details.
Draft the policy evidence packet
Adobe Acrobat PDF Spaces / AI Assistant · Acrobat home > PDF Spaces > Create a PDF Space > Paste copied text or add approved files > Add to PDF Space; AI Assistant field
Add the review capture, approved evidence and current policy excerpt as labeled text/TXT/PDF sources. Paste the prompt. Inspect source-number citations and Copy the draft to an internal review document.
- Expected output
- review-evidence.csv fields review_id,policy_category,supporting_evidence_refs,missing_evidence,assessment,current_report_status,human_next_step; separate short report/appeal draft.
- Next step
- Attorney checks every factual claim, policy match and confidentiality boundary.
- Check before continuing
- Policy citation must support the actual alleged behavior. No public reply, removal guarantee or allegation of fact without evidence.
Human submits or tracks the report
Final human reviewAuthorized Google Business Profile owner/manager · Business Profile > Read reviews > Report; Google Reviews Management Tool for status/appeal
After attorney approval, select Report beside the review, choose the applicable reason and Send report. In Reviews Management Tool verify account/business and inspect reported-review status. If eligible after denial, use Appeal eligible reviews, select up to 10 reviews, continue to Submit an appeal and complete the opened form. Inspect actual form fields before sending evidence.
- Expected output
- A manually submitted report or eligible one-time appeal, with observed status and decision reference in report-history.csv.
- Next step
- Record submitted_at, status, decision_ref and appeal_used from actual outcomes.
- Check before continuing
- Only one appeal is available; review the packet before using it. No mass reports, automated submission, public accusations or disclosure of representation.
What you’ll get
review-evidence.csv: review_id, policy_category, supporting_evidence_refs, missing_evidence, assessment, current_report_status, human_next_step; report-draft.txt: factual nonpublic draft for authorized review
Inputs and a sample test Synthetic example · not a measured result
Input files
- reviews.csv: review_id, public_url, posted_at, captured_at, review_text
- evidence.csv: evidence_id, review_id, nonconfidential_observation, source_ref, captured_at
- report-history.csv: review_id, status, submitted_at, decision_ref, appeal_used; platform-policy.txt: current official policy categories and source references, evidence requirements and report/appeal limits
Synthetic example
R1: negative opinion with no policy evidence R2: specific alleged violation with a public evidence reference R3: prior report status unknown
Expected output
R1: no removal assumption R2: cite category and uncertainty for review R3: verify history before another submission
Test a failure
Negative sentiment alone is not grounds for removal. Do not solicit mass reports or disclose representation/matter details in a public response. No public reply generated here, avoiding the existing review-draft workflow.
Try with the sample files
Follow the tool steps above and use the inputs named in each step. Where provided, native-* files are blank scaffolds and NATIVE-INPUT-MAPPING explains their fields. Original examples and the optional full review prompt use a separate prepared-input schema. Keep them separate unless the mapping explicitly connects them. Downloading a kit does not connect accounts or prove the workflow works.
