Turn client questions into a lawyer review agenda

Keep every question and source reference in a draft meeting agenda.

Tools for the documented steps

Practice relevance

Cross-practice idea · A general operational method. Review the stated tool and jurisdiction limits before use.

The problem

Keep every question and source reference in a draft meeting agenda.

Why it matters: Long question lists can bury a concern or send the review in circles. Grouping related questions while keeping each original ID gives the lawyer a complete agenda without treating a source match as a legal answer.

Sources & evidence

Proposed / not tested. The public source describes the problem. Documentation supports only the stated method components; no result from this recipe has been verified.

What’s been verified

Source methods and reported problems have been reviewed. We have not run the adapted workflow. The sample below describes expected behavior on synthetic data, not a customer result.

What to measure: In a synthetic pilot, count correctly found exceptions, false alarms, and unresolved inputs. No time or cost saving is assumed.

  • Pain evidence: Original post ↗Pagan_Godess, 14 October 2026, 03:06:59 UTC, a self-described solo estate-planning lawyer with staff, describes overwhelming follow-up lists and repeated AI critiques of drafts. Original post.
  • Method: Adobe AI source-cited answers ↗existing versioned Word/PDF draft and approved memo; optional Acrobat AI Assistant using its documented cited-content capability above. The agenda format is our proposed adaptation, not a native estate-planning feature. Adobe AI source-cited answers.

Source checked: October 15, 2026. Pain accounts are self-reported. Documentation supports components; this adapted recipe and prompt have not been tested. We wrote these prompts. The adapted workflow hasn’t been tested.

Suggested approach

Start when: A client sends a question list before lawyer review

  1. group possible overlaps
  2. Keep source references and report unknowns instead of filling gaps.
  3. The responsible reviewer checks the report before any separately approved action.

Limits and review

The assistant drafts or reports only. Check source records and review the output before a human performs any separately approved send or change. No automatic legal decision, money movement, account connection or publication is included.

Who reviews it: requires exact current document versions, question IDs, approved scope policy, and a lawyer reviewer. A source match does not answer or resolve a concern. Reject AI-authorship detection, automatic legal answers, fee changes, and withdrawal suggestions from the discussion. AI-assisted clerical triage, not a client-answer bot.

What you need

Acrobat AI Assistant · prepared inputs

  • Existing firm-approved Acrobat AI Assistant/PDF Spaces entitlement: Acrobat Studio, AI Assistant add-on, or another plan including AI features, with online services/cloud storage allowed. Desktop/web region and language availability apply. Verify with the administrator; no purchase or configuration change is part of this recipe.
  • Exact client question list plus the current lawyer-approved draft, memo and scope policy. Use a synthetic example first. Only authorized, appropriately minimized documents may enter Adobe cloud processing.
  • Source filenames/versions and a lawyer reviewer. No automatic email or case-management connection is assumed.
  • Use synthetic inputs first. Keep real data in firm-approved accounts and processing, with appropriate access, confidentiality and retention controls. Aliases alone do not anonymize records. Never paste credentials, API keys or unnecessary client details.

How to use

Documentation-verified PDF Space and cited-Q&A path; proposed agenda transformation not tested

Before you start
  • Start with actual question text and source documents. You do not need to manufacture a CSV before opening the AI tool.
  • PDF Spaces supports PDF/DOCX/PPTX/XLSX/TXT/RTF/VTT and pasted text; current docs specify up to 100 files, 100 MB per file and 600 pages per file. Password-protected documents and handwritten notes are not supported.
  • The AI can suggest a grouping and locate passages. It cannot determine whether a client concern is resolved or give the lawyer’s answer.
Check access and setup
  • The firm’s Adobe subscription, online-services approval and source permissions were not observed.
  • Source question retrieval from the firm’s specific email/DMS was not verified; this path starts with the actual text/PDF/DOCX available to the reviewer.
  1. Load the real source set

Acrobat PDF Spaces · Acrobat homepage > PDF Spaces > Create a PDF Space

Create a space for one matter only. Add the approved current draft/memo files; use Paste copied text for the client’s question list and approved scope policy, then Add to PDF Space. Give each file/text block a clear name with its version. Retain all questions, including repeats.

    Expected output
A selected source set visible in the left Files panel; no imported case-management dataset is assumed.
    Next step
Review the file list before asking the first question.
    Check before continuing
Check one matter, correct versions and complete question text. Do not include unrelated matter files or internal strategy unnecessary to the agenda.
  2. Extract questions and source references first

Acrobat AI Assistant · The PDF Space AI Assistant message field

Paste the extraction prompt. Use the source-number controls to inspect quotations. Copy the answer to an internal working document for checking.

    Expected output
Question inventory with draft Q001-style IDs, exact original text and source locations, plus a document/version inventory.
    Next step
Correct omissions or splitting errors and approve the inventory before grouping.
    Check before continuing
Compare inventory to the original list line by line. A multi-part question may need several IDs, but retain the complete original wording.
  3. Ask for the review agenda

Acrobat AI Assistant · Same PDF Space AI Assistant message field

Paste the corrected inventory with its IDs into the next prompt, explicitly naming the approved material versions and scope policy.

    Expected output
Agenda: topic, question_ids, category, potentially relevant source/version/quote, neutral clarification request and uncertainty.
    Next step
Copy the agenda and source citations to the lawyer’s internal review document.
    Check before continuing
Every approved question ID must appear exactly once in the agenda mapping; source matches remain possible discussion material, not answers.
  4. Keep the optional kit contract aligned

Text editor or spreadsheet · review_agenda.template.json, if a structured reusable input is wanted

Staff fill matter_id and reviewer_id. Put the checked inventory into questions[{question_id,text}], verified excerpts into approved_materials[{source_id,version_id,text}], and lawyer-supplied rules into scope_policy[{policy_id,text}]. A plain text inventory is enough for the PDF Space path; the JSON is an optional editorial exchange format.

    Expected output
The supplied kit JSON with the same IDs and exact versions used in the agenda.
    Next step
Keep it with the approved agenda and source list.
    Check before continuing
No field is an advertised Acrobat export column; IDs, reviewer and scope rules are assigned by staff.
  5. Approve the agenda for the meeting

    Final human review

Responsible lawyer · Internal review document

Check all citations against current originals, edit classifications and choose the order of discussion. Use the agenda to prepare the meeting. The lawyer decides all substantive responses.

    Expected output
Reviewed meeting agenda with every client concern preserved.
    Next step
Meeting preparation only; any client response is a separately approved communication.
    Check before continuing
No legal answer, fee change, draft revision or external send occurs automatically.

What you’ll get

Return agenda[] with topic, question_ids, category (administrative_clarification, scope_discussion, legal_judgment or uncertain), relevant source_id/version_id/quote or null, neutral clarification_request, and resolved=false. Derive all IDs and source matches from the supplied inputs. Report any uncovered or repeated question IDs; all_question_ids_preserved must reflect the actual coverage check. client_reply_sent=false.

Test a failure

requires exact current document versions, question IDs, approved scope policy, and a lawyer reviewer. A source match does not answer or resolve a concern. Reject AI-authorship detection, automatic legal answers, fee changes, and withdrawal suggestions from the discussion. AI-assisted clerical triage, not a client-answer bot.

Try with the sample files

Follow the tool steps above and use the inputs named in each step. Where provided, native-* files are blank scaffolds and NATIVE-INPUT-MAPPING explains their fields. Original examples and the optional full review prompt use a separate prepared-input schema. Keep them separate unless the mapping explicitly connects them. Downloading a kit does not connect accounts or prove the workflow works.

Download inputs and checklist 6 files

Instructions, blank templates and separate synthetic examples; these files do not install an automation. Blank templates still need verified source data.

Optional full review prompt for prepared inputs

Prepared-input review prompt with Acrobat AI Assistant · prepared inputs

Proposed / not tested · editorial prompt. This prompt uses the original prepared-input schema shown in the sample test. Step prompts may use different tables. Follow NATIVE-INPUT-MAPPING where supplied; do not mix the original examples with native-step inputs without mapping and checking every field.
