Test an engagement-letter template before reuse

Find stale names, dates and role mappings in a reusable letter template with five fictional test cases and a lawyer-review handoff.

Tools for the documented components

Clio Draft is distinct from migrated Clio for Word. Confirm your existing product and authorised test access. No account setup or subscription purchase is included.

Practice relevance

Cross-practice idea · A cross-practice administrative check, including for wills, probate and conveyancing engagement letters. Tags indicate possible relevance, not proven practice popularity or legal suitability.

Scope: Firm-approved jurisdiction and master only; Australian/APAC product availability does not establish legal compliance

The problem

Reusing an old engagement letter can leave a previous name, date or role in the new document. A reusable template can also put the right value in the wrong place.

Why it matters: A repeatable fictional test set gives the template owner a way to detect mapping regressions before considering live reuse.

Sources & evidence

Practitioner pain report plus official component documentation. Proposed adaptation; not tested.

What’s been verified

An anonymous practitioner reported missing names and dates when reusing retainers. This does not validate this recipe or establish measured outcomes. No Clio account or end-to-end workflow test was performed.

What to measure: Record tests run, exact mismatches, unresolved fields and re-test results after approved changes. No time saving, error-free output or legal validity is promised.

Why this task is included

These sources support a recurring need or broader activity. They do not establish the popularity or results of this exact workflow.

Source checked: October 16, 2026. The practitioner report motivates the problem only. Official docs describe separate capabilities. This original regression-test adaptation is not an end-to-end tested solution. It checks reusable field mapping, not document styling or couples’ will-intake instructions. We wrote these prompts. The adapted workflow hasn’t been tested.

How this workflow works

Start when: A template owner has an approved deidentified master to check before reuse or after a mapping change.

  1. Choose the approved test copy
  2. Inspect the exact fields
  3. Map each field to a source
  4. Run five fictional cases
  5. Compare values and locations
  6. Hand off before live reuse

Limits and review

Synthetic preparation and review only. No account changes, field creation, live matter sync, client document generation, sending, signing or automation activation. Do not infer missing client instructions.

Who reviews it: The template owner checks fields and test evidence. The supervising lawyer checks wording, fees, scope, exclusions, signatures, roles and jurisdiction before separately approving live use.

Before you start

  • Use a firm-approved, deidentified master and an existing authorised test environment.
  • Ask the template owner for the exact field dictionary and approved roles.
  • Choose a supervising lawyer to review legal wording and suitability.
  • Use only made-up client details. Keep live client documents out of this exercise.
  • Check that Clio Draft and its Word Template Builder are already available.
  • If access or a named control is missing, stop and ask the administrator.

Use made-up sample data first. These guides describe documented features. We have not tested the full workflows.

Short instructions use ASD-STE100 writing principles. These guides are STE-inspired, not certified STE. Exact prompts and technical names stay unchanged.

Read each action in order. A path such as Home > Reports means open Home, then Reports. If a named control is missing, stop. Check the linked product instructions or ask your administrator.

What the technical words mean
AI
Artificial intelligence. It can produce incorrect answers. A person must check its work.
Prompt
The instructions you paste into an AI chat box.
Synthetic data
Made-up sample information. It must not contain real client details.
Export / import
Save data from a tool / put data into a tool.
CSV
A text file with rows and columns. Spreadsheet tools can open it.
Field / mapping / schema
A named item, such as a date / matching items between tools / the required structure of the data.

A feature or format provided by the named tool.
Source ID / alias
A reference used to find an original record / a replacement label. Neither makes private information anonymous.
Scope / coverage
The records and dates included / whether all required records were included.

Secret access information. Do not paste it into prompts or share it with an AI tool.
OAuth / connection
Permission for one tool to access another account. Ask your authorized administrator before you approve it.
Read-only / draft-only
View without changing records / prepare text without sending, publishing or filing it.
Review gate
A point where an authorized person must check the work before you continue.

Existing firm-approved AI chat using approved deidentified and synthetic inputs, or manual review

Follow these steps

Keep the prompts unchanged. Paste each prompt only in the location named in its step. Check every result before continuing.

Documentation-checked component path; proposed adaptation, not tested end to end

Before you start
  • Use an approved deidentified master, exact field dictionary and approved roles. The download is an editorial scaffold, not Clio import syntax.
  • Synthetic Draft-only testing checks rendered values and locations, not production Manage integration. Test any conditional branch separately using approved expected answers.
Check access and setup
  • Existing Draft subscription, installed Word add-in, migrated-product differences and test-environment permissions need administrator confirmation.
  • Use current product-specific instructions. A former combined Manage/Grow help URL may redirect to Grow-only documentation.
  • If migrated to Clio for Word, use its documented Use a template from your library entry and verify the actual controls; the legacy path does not apply.
  1. Choose the approved test copy

Template owner and Word · Approved deidentified master

    1. Ask the template owner for the approved master and its version.
    2. Use a separate test copy with fictional details.
    3. Record the owner, version, jurisdiction and approved roles.
    4. Keep the original master unchanged.
    Stop and check
    • A previous client letter is not an approved master. Remove identifying content, comments and document metadata.

  2. Inspect the exact fields

Word with existing Clio Draft Template Builder · Legacy Draft add-in: desktop Word > Home > Clio Draft Template Builder > bottom three-line menu > Templates

    1. Open Word and select Home > Clio Draft Template Builder.
    2. Open the bottom three-line menu, then Templates.
    3. Locate the authorised test template.
    4. Expand the Fields cards to inspect role and case fields.
    5. Copy the exact field names and roles into the field dictionary.
    6. Record each occurrence in the body, tables, headers, footers and signature area.
    7. Inspect existing date formats and conditions without saving changes.
    Stop and check
    • This path is for Clio Draft. Migrated Clio for Word can differ. Do not substitute Grow menus or invent tags.
    • Saving an updated legacy template replaces its library version. Do not save during inspection.

You should have: An exact field inventory with document locations.

  3. Map each field to a source

Spreadsheet or text editor; optional approved AI · field-map.csv and prompt.txt

    1. Open field-map.csv and the exact field dictionary.
    2. Record each approved source, role, format and blank-value rule.
    3. Record repeated uses of the same field separately.
    4. Paste the prompt below into an approved AI tool, or review manually.

  4. Run five fictional cases

Template owner in existing authorised test environment · acceptance-tests.csv and fictional-document-fixture.txt

    1. Open acceptance-tests.csv and synthetic-cases.csv.
    2. Ask the owner to use Clio Draft > Library > Word templates.
    3. Select the authorised test copy and start drafting.
    4. Use only an existing, approved synthetic matter and fictional values in every card.
    5. Generate, review and download each output through the existing approved test process.
    6. Save each output with its case ID.
    7. If this requires new records or permissions, stop and ask the owner.
    8. If generation is unavailable, mark the case NOT RUN.
    Stop and check
    • Do not use a live matter. In the Manage-to-Draft flow, Continue may sync matter data; stop before an unapproved sync.
    • Draft-only tests do not prove production Manage field mapping. That requires separately authorised integration testing.

What you’ll get

A proposed field map, five-case acceptance log, issues register, fictional document fixture and review checklist. These are editorial aids, not an installable Clio template.

Inputs and a sample test Synthetic example · not a measured result

Input files

  • field-map.csv: occurrence_id,template_location,exact_field_name,approved_source,approved_role,required_format,blank_behaviour,approval_reference,status
  • acceptance-tests.csv: test_id,case_id,location,expected_value,expected_result,actual_value,status,evidence
  • issues.csv: issue_id,case_id,location,expected,observed,owner,status,evidence

Synthetic example

Fictional case C01: client Rowan Vale; representative Rohan Vale; letter date 2026-10-20. The deliberate faulty output uses Rohan as the client and an old date.

Expected output

Record both wrong-role name occurrences and the stale date as FAIL. Missing required values remain UNRESOLVED. An absent generated output is NOT RUN.

Test a failure

Use C02 with a blank required date and C05 with the ambiguous date 03/04/2026. Neither may receive a guessed date or a PASS.

Try with the sample files

Follow the tool steps above and use the inputs named in each step. Files named native-* are blank templates. NATIVE-INPUT-MAPPING explains how to fill their fields. The original examples use a different data structure. Do not mix these files unless the mapping instructions say how. Downloading files does not connect accounts. It does not prove that the workflow works.

Download inputs and checklist 13 files

Instructions, blank templates and separate synthetic examples; these files do not install an automation. Blank templates still need verified source data.

Optional full review prompt for prepared inputs

Proposed / not tested · editorial prompt. This prompt uses the original prepared-input schema shown in the sample test. Step prompts may use different tables. Follow NATIVE-INPUT-MAPPING where supplied; do not mix the original examples with native-step inputs without mapping and checking every field.
