# Review file-sync errors and stale reporting

Canonical page: https://agents.paretoid.com/workflows/review-file-sync-errors-and-stale-reporting/

Category: Operations & Reporting

Practice relevance: cross-practice. A general operational method. Review the stated tool and jurisdiction limits before use.

Jurisdiction/provider scope:

Compare expected devices with sanitized OneDrive sync-health records.

Status: Proposed / not tested. The public source describes the problem. Documentation supports only the stated method components; no result from this recipe has been verified.

Verification: Source methods and reported problems have been reviewed. We have not run the adapted workflow. The sample below describes expected behavior on synthetic data, not a customer result.

## The problem

Compare expected devices with sanitized OneDrive sync-health records.

Why it matters: A missing sync report does not prove that files are current or lost. Separating errors, stale telemetry, and device eligibility gives IT a more useful investigation list before staff rely on a synchronized copy.

## Sources and evidence

- pain: [Pain evidence: Saving and filing emails discussion](https://www.reddit.com/r/LawFirm/comments/hm96kf)
  Saving and filing emails discussion, 2020-07-06, older, surviving practitioner comment: repeated lost OneDrive connections allegedly resulted in lost or duplicated files. This is historical experience, not a claim about today's Clio reliability.

- method: [Method: Microsoft OneDrive sync-health reports](https://learn.microsoft.com/sharepoint/sync-health?tabs=windows)
  Microsoft OneDrive sync-health reports documents error, last-sync and last-report timestamps, with reporting latency and device-eligibility limitations. It is not a real-time per-file guarantee.

Source checked: October 15, 2026. Pain accounts are self-reported. Documentation supports components; this adapted recipe and prompt have not been tested.

## Suggested approach

Start when: IT-approved daily health review

1. compare read-only sync-health exports with the expected device register

2. Keep source references and report unknowns instead of filling gaps.

3. The responsible reviewer checks the report before any separately approved action.

## What you need

- An already-enabled OneDrive sync health dashboard in Microsoft 365 Apps admin center; suitable existing reader role, such as Global Reader.

- Existing eligible reporting devices, supported sync app and an IT-approved expected-device roster, freshness policy and cutoff. This recipe does not enable telemetry or change device settings.

- Firm-approved Excel; optional Copilot entitlement and tenant approval for the exact minimized data. Native Excel analysis can be done manually if Copilot is absent.

- Keep raw exports and identifying source pointers in a separate restricted location. The AI workbook contains only approved alias-based tables and visible policy/scope text, never raw client records on another tab.

- Use synthetic inputs first. Keep real data in firm-approved accounts and processing, with appropriate access, confidentiality and retention controls. Aliases alone do not anonymize records. Never paste credentials, API keys or unnecessary client details.

## How to use

Documentation-checked proposed route; source collection and human approval required

- The official guide documents Devices/Issues views, not a CSV Download control; this route manually captures displayed fields.

- Status reporting is delayed (typically about 36 hours, or about 1 hour after startup). Records expire after 30 days; signed-out or ineligible/insufficiently-on devices may be absent. Absence is not proof of healthy sync.

Access and setup:

- Actual account access, plan and source-data completeness have not been tested.

### 1. Read the actual sync-health observations

Tool: Microsoft 365 Apps admin center

Location: Health > OneDrive Sync > Devices; Issues for error detail

Use the existing dashboard, select the intended view/filter and record capture time. On Devices read Device name, User, Errors, App version, Last synced timestamp (UTC) and Last status reported timestamp (UTC). Select a user or issue for the actual error detail. Manually capture only the authorized device scope; no native CSV export is claimed.

Expected output: Observed device rows and error detail with screenshot/row references and scope.

Next step: Match observations to the IT roster using verified device identity, not just a possibly reused display name.

Check before continuing: If dashboard setup/access is absent, stop this acquisition step. Do not generate a tenant key or change reporting policy.

Execution status: Official documentation checked 2026-10-15; account and workflow not personally tested

Step documentation: https://learn.microsoft.com/en-us/sharepoint/sync-health?tabs=windows

### 2. Map the observed records to the starter input

Tool: Excel and authorized staff

Location: Separate analysis workbook > Home > Format as Table

Create expected-devices.csv from the actual IT asset roster: device_id,account_alias,eligibility_status,expected_reporting,owner_alias. Create sync-health.csv from observations: device_id,error_code,last_sync_utc,last_report_utc,app_version,source_row. If the screen shows a message but no code, retain the literal message in a restricted/safe note and mark error_code unknown. Do not invent stable IDs from device names; use an IT-verified crosswalk. Put scope.txt, approved freshness threshold and known dashboard lag in Scope. Create named tables for ExpectedDevices and SyncHealth. Put the policy and review scope in visible worksheets or paste them into the next prompt.

Expected output: ExpectedDevices and SyncHealth tables; no unobserved device is silently excluded.

Next step: Check the mapping against each original source before using AI.

Check before continuing: Aliases and missing policy fields are staff-created; do not relabel a native export as the kit schema. Unknown stays blank/unknown, not false or zero.

Execution status: Official documentation checked 2026-10-15; account and workflow not personally tested

### 3. Review the bounded evidence with Copilot

Tool: Excel Copilot, optional

Location: Approved analysis workbook > Copilot icon at lower right > Chat only

Use Chat only and submit the prompt. Without Copilot: join the verified device IDs and compare dates/statuses using the approved lag/freshness rules.

Prompt:

```text
Compare ExpectedDevices and SyncHealth using verified device_id and Scope. Report observed errors, stale reports under the approved threshold, last-sync observations, expected-but-missing devices, ineligible devices and ambiguous identity matches separately. Cite source rows and UTC timestamps. Account for the supplied reporting lag; do not declare a missing or green device healthy, infer backup coverage, or recommend disabling controls. No settings changes or user messages.
```

Expected output: IT investigation queue with coverage and freshness limits.

Next step: Copy the draft exception list to the reviewer; retain row references.

Check before continuing: Check every flagged row and the scope. A fluent answer is not evidence of completeness; no automatic workbook or source-system edits.

Execution status: Official documentation checked 2026-10-15; account and workflow not personally tested

Step documentation: https://support.microsoft.com/en-us/excel/copilot/get-started-with-copilot-in-excel https://support.microsoft.com/en-us/excel/copilot/frequently-asked-questions-about-copilot-in-excel

### 4. Approve the review result

Tool: Responsible staff reviewer

Location: Reviewed local worksheet

IT checks missing/ambiguous devices and actual client state, then chooses remediation through its normal approved process.

Expected output: Reviewed sync investigation list.

Next step: Any external message, source change, payment or deletion requires its own authorized process.

Check before continuing: This is a sync telemetry review, not proof that all files are backed up or recoverable.

Execution status: Official documentation checked 2026-10-15; account and workflow not personally tested

Step documentation: https://support.microsoft.com/en-us/excel/tutorial-import-data-into-excel-and-create-a-data-model

## What you will get

sync-review.csv: device_id, eligibility_status, error_code, last_sync_utc, last_report_utc, observed_issue, source_row, missing_or_stale_evidence, owner_alias, question_for_IT. Distinguish sync errors, stale reporting and offline or ineligible devices; missing telemetry is not a healthy result.

## Human review and limits

IT checks original device status and source files. Test a device absent because it has not been on long enough, plus an actual sync error. Do not use the report as the sole pre-filing availability check.

The assistant drafts or reports only. Check source records and review the output before a human performs any separately approved send or change. No automatic legal decision, money movement, account connection or publication is included.

What to measure: In a synthetic pilot, count correctly found exceptions, false alarms, and unresolved inputs. No time or cost saving is assumed.

## Original prepared-input schema

expected-devices.csv: device_id, account_alias, eligibility_status, expected_reporting, owner_alias

sync-health.csv: device_id, error_code, last_sync_utc, last_report_utc, app_version, source_row; scope.txt: as-of UTC, IT-approved latency threshold and export coverage

Synthetic example input:

```text
D1: reported sync error
D2: report timestamp exceeds approved latency
D3: expected device absent but eligibility unresolved
```

Expected synthetic output:

```text
D1: investigate error
D2: stale telemetry
D3: unknown coverage, not healthy
```

Failure check: IT checks original device status and source files. Test a device absent because it has not been on long enough, plus an actual sync error. Do not use the report as the sole pre-filing availability check.

## Optional original prepared-input prompt

Destination: Your firm-approved AI assistant · prepared files

This original prompt uses its own prepared-input schema. Do not mix it with native-step tables without the supplied mapping.

```text
Review these sanitized sync-health records against the expected-device list and supplied latency thresholds. Distinguish a sync error from stale reporting and an offline/ineligible device. Produce device ID, observed timestamps, error, evidence and a question for IT. Do not claim files are lost, call missing telemetry healthy, reset sync, change security settings or delete duplicates.
INPUTS
expected-devices.csv: device_id, account_alias, eligibility_status, expected_reporting, owner_alias
sync-health.csv: device_id, error_code, last_sync_utc, last_report_utc, app_version, source_row; scope.txt: as-of UTC, IT-approved latency threshold and export coverage
OUTPUT
sync-review.csv: device_id, eligibility_status, error_code, last_sync_utc, last_report_utc, observed_issue, source_row, missing_or_stale_evidence, owner_alias, question_for_IT. Distinguish sync errors, stale reporting and offline or ineligible devices; missing telemetry is not a healthy result.
Use only these synthetic or firm-approved inputs and preserve source row/page IDs. Keep missing or conflicting evidence unresolved. Return a draft for the named reviewer. Do not send messages, connect accounts, change records or permissions, move money, or make legal decisions. Keep source files unchanged. List missing prerequisites before continuing.
