# Check missed calls against later inquiries

Canonical page: https://agents.paretoid.com/workflows/check-missed-calls-against-later-inquiries/

Category: Intake & Booking

Practice relevance: cross-practice. A general operational method. Review the stated tool and jurisdiction limits before use.

Jurisdiction/provider scope:

Find missed callers who still need a next step after checking later calls and forms.

Status: Proposed / not tested. The public discussion supports the problem; the method source supports only the documented features. No outcome from this adapted recipe has been verified.

Verification: The linked sources support the complaint and documented method components. We have not run this recipe or verified its results. The example below is synthetic, not a customer result.

## The problem

Find missed callers who still need a next step after checking later calls and forms.

Why it matters: A missed call may already have been followed by a form or another conversation. Checking later records helps staff avoid duplicate callbacks while identifying callers whose next step is still unresolved.

## Sources and evidence

- pain: [Pain evidence: Public discussion](https://www.reddit.com/r/LawFirm/comments/1py4kva/2025_phone_intake_stats_for_a_small_pi_firm/)
  ; original post 2025-12-28. A PI firm manually audited missed calls and found some callers later completed web forms; a raw missed-call count overstated completely lost contacts.

- method: [Method: CallRail call-log export](https://support.callrail.com/hc/en-us/articles/5711277622029-Export-Call-log)
  CallRail supports call-log exports. Lawmatics supports call logging and phone matching; these do not establish a complete cross-channel identity resolver.

- method: [Method: CallRail call-log export · supporting guide 2](https://help.lawmatics.com/en/articles/10699987-callrail-integration)
  Additional official capability reference. It does not validate the complete proposed recipe.

## Suggested approach

Start when: Daily missed-call log

1. compare against later voicemail/form/answered-call activity using supplied IDs and timestamps

2. Keep row or page references and mark missing or ambiguous evidence. Do not apply the suggested changes.

3. The responsible staff member checks the draft against the source records and approves any separate action.

## What you need

- Existing authorized access to the correct source account and records; no new login, credentials, installation or permission grant is included.

- Responsible lawyer/operations reviewer approves scope, definitions and any later action.

- AI optional; use only approved minimized data and retain originals separately.

- Use synthetic inputs first. Keep real data in firm-approved accounts and processing, with appropriate access, confidentiality and retention controls. Aliases alone do not anonymize records. Never paste credentials, API keys or unnecessary client details.

## How to use

Documentation-checked component path; proposed workflow, not tested

- No universal CRM/CallRail call-ID join or full later-contact export is established.

Access and setup:

- The live account, entitlement, exact headers, records and field coverage have not been observed.

### 1. Export the calls with their real scope

Tool: CallRail

Location: Analytics > Activity > Call log > date/company filters > Edit Columns > Export > Excel

Export the reviewed call period with actual answer status, tracking context and the available caller/call identifiers. Preserve originals and filter cover sheet locally. Staff checks which status qualifies as missed under the firm definition.

Expected output: Native call Excel; exact available identifiers inspected locally.

Next step: Open caller Timeline for candidate missed calls to inspect later calls/forms/text events.

Check before continuing: Do not assume a voicemail or missed call implies no contact later; no transcript export is needed.

Execution status: Public official documentation checked 2026-10-15; no login, export, live query, import, installation, configuration, message or client workflow was executed.

Step documentation: https://support.callrail.com/hc/en-us/articles/5711277622029-Export-Call-log https://support.callrail.com/hc/en-us/articles/5711366294285-Viewing-caller-timelines-with-visitor-tracking

### 2. Check later CRM assignment and inquiry evidence

Tool: Lawmatics / CallRail

Location: Lawmatics top-right phone icon > Assigned / Unassigned / All Callers; matter Activities; CallRail call Timeline

Manually establish exact cross-tool record links or an existing staff-verified caller/matter map for the look-forward window. Capture later inquiry timestamp, channel and record ref. Check the source period extends through the full window.

Expected output: A local restricted matching map and evidence ledger.

Next step: Replace caller identities with staff-created aliases before downstream analysis.

Check before continuing: Phone matching is not proof of a unique person: shared/recycled numbers and several matters require review. Unassigned callers are not necessarily unreturned calls.

Execution status: Public official documentation checked 2026-10-15; no login, export, live query, import, installation, configuration, message or client workflow was executed.

Step documentation: https://help.lawmatics.com/en/articles/10699987-callrail-integration https://support.callrail.com/hc/en-us/articles/5711366294285-Viewing-caller-timelines-with-visitor-tracking

### 3. Make the checked, minimized handoff

Tool: Excel / source-record reviewer

Location: Restricted original workbook > separate analysis workbook > Scope worksheet

Use only exact, staff-approved matching keys. Keep all ambiguous and unmatched calls. State allowed look-forward interval, timezone and late-data cutoff. Keep untouched original exports/screenshots and the identifying source map in restricted firm storage. Build a separate minimized analysis file; do not hide raw client data on another tab. Include the complete Scope/coverage note in the AI-visible workbook or prompt. Use aliases and administrative metadata only. Unknown is not zero, false, completed or absent.

Expected output: Calls(call_alias,caller_alias,missed_at,answer_state,source_ref); Later(inquiry_alias,caller_alias,event_at,event_type,source_ref); Scope(window,coverage,matching_policy)

Next step: Format each approved range as a named table. Carry source-row references and coverage into the analysis workbook.

Check before continuing: Every field has an observed source or an explicit missing reason; staff assignments are marked editorial, not native.

Execution status: Public official documentation checked 2026-10-15; no login, export, live query, import, installation, configuration, message or client workflow was executed.

Step documentation: https://support.microsoft.com/en-us/excel/merge-queries-power-query https://help.lawmatics.com/en/articles/10699987-callrail-integration

### 4. Ask AI to inspect the checked inputs

Tool: Excel Copilot, optional

Location: Analysis workbook > Copilot icon at lower right > Chat only

Open the minimized workbook containing the named tables and Scope. Paste the exact prompt; if unavailable, perform the same rule checks manually.

Prompt:

```text
Match Calls to Later only by the exact approved caller_alias and the stated look-forward window. Return missed calls with evidenced later inquiry, no observed later inquiry with complete coverage, or unknown due to ambiguity/incomplete window. Show source refs and time difference. Never use fuzzy names, infer identity from location, label a caller lost, or trigger outreach.
```

Expected output: Missed-call reconciliation with ambiguous/unknown queue.

Next step: Copy checked results into a new Review sheet, retaining source references and unresolved blockers.

Check before continuing: Staff rechecks every candidate match and the full later window.

Execution status: Public official documentation checked 2026-10-15; no login, export, live query, import, installation, configuration, message or client workflow was executed.

Step documentation: https://support.microsoft.com/en-us/excel/copilot/get-started-with-copilot-in-excel

### 5. Human review and final action

Tool: Responsible firm reviewer

Location: Internal Review worksheet / review document

Intake staff reviews unresolved calls using the original systems and decides whether any authorized follow-up is appropriate.

Expected output: Checked reconciliation and internal questions.

Next step: Human creates an approved task or communication separately.

Check before continuing: No automatic callback, text, data merge or lead creation.

Execution status: Public official documentation checked 2026-10-15; no login, export, live query, import, installation, configuration, message or client workflow was executed.

Step documentation: https://support.callrail.com/hc/en-us/articles/5711366294285-Viewing-caller-timelines-with-visitor-tracking https://help.lawmatics.com/en/articles/10699987-callrail-integration

## What you will get

callback-review.csv: call_id, matched_record_ids, match_evidence, handling_status, contact_check_needed, proposed_owner

## Human review and limits

No unsolicited callbacks to suspected spam or sensitive-message summaries to general channels. Staff verifies correct person and lawful contact before calling.

The assistant drafts or reports only. Check source records and review the output before a human performs any separately approved send or change. No automatic legal decision, money movement, account connection or publication is included.

What to measure: During the pilot, count findings confirmed by the reviewer, false alarms, and missing-input cases. Do not infer time or money saved.

## Original prepared-input schema

calls.csv: call_id, contact_token, started_at, timezone, disposition, acknowledged_next_step, source_record_id

forms.csv: form_id, contact_token, submitted_at, timezone, staff_acknowledged, source_record_id

callback-policy.txt: approved lookback window, match rules, consent/contact checks, exclusions; omit recordings, identities, and matter narratives

Synthetic example input:

```text
CALL1: missed; later form has same token and staff acknowledgment
CALL2: missed; no later contact or next step
CALL3: missed; token belongs to a shared household number
```

Expected synthetic output:

```text
CALL1: already handled, show matched form
CALL2: callback review task
CALL3: uncertain identity, manual review
```

Failure check: Add a suspected-spam record and a later form outside the approved window. Do not assume either authorizes a callback or a confirmed match.

## Optional original prepared-input prompt

Destination: Your firm-approved AI assistant · prepared files

This original prompt uses its own prepared-input schema. Do not mix it with native-step tables without the supplied mapping.

```text
Reconcile these anonymized missed-call and intake-form logs. Identify which callers later reached us or submitted a form, and which still lack an acknowledged next step. Show exact match evidence and ambiguous shared-number cases. Produce callback tasks for review, not messages, and do not estimate lost revenue.
INPUTS
calls.csv: call_id, contact_token, started_at, timezone, disposition, acknowledged_next_step, source_record_id
forms.csv: form_id, contact_token, submitted_at, timezone, staff_acknowledged, source_record_id
callback-policy.txt: approved lookback window, match rules, consent/contact checks, exclusions; omit recordings, identities, and matter narratives
OUTPUT
callback-review.csv: call_id, matched_record_ids, match_evidence, handling_status, contact_check_needed, proposed_owner
Use only the supplied synthetic or firm-approved inputs. Cite source row or page IDs for each finding. Keep unknowns unresolved. Return a draft for the responsible staff reviewer. Do not send messages, connect accounts, change records, move money, or make legal decisions. Keep source files unchanged. If an input or permission is missing, list what is needed and stop that check.
